Aminata & Sons Inc., a leader in the petroleum distribution industry in Liberia, sought to streamline and automate their coupon distribution and validation processes to improve operational efficiency and decision-making. In partnership with Comax ICT, the company developed the Aminata Coupon Management System (ACoMS), a comprehensive solution that empowers stakeholders to manage coupon sales and distribution seamlessly, ensuring transparency, efficiency, and real-time information access.


Project Overview & Processes

Comax ICT was entrusted with designing, developing, and implementing the ACoMS™ (Aminata Coupon Management System), a customized software solution tailored to the unique needs of Aminata & Sons Inc. The goal was to automate processes, improve workflow, and provide real-time data for decision-making, ultimately streamlining the coupon sale and distribution process across multiple locations.

  1. Assessment & Customization
    • The project began with an in-depth assessment of Aminata & Sons Inc.'s existing processes for coupon sales and distribution. Comax ICT® worked closely with key stakeholders to understand the pain points, operational requirements, and desired outcomes for the system.
    • A tailored solution was developed, with ACoMS™ designed to cater specifically to the needs of petroleum sales and coupon validation in the Liberian market.

    • Coupon Validation & Automation: The system automates the coupon validation process, ensuring that only valid coupons are accepted for transactions. It also supports the disabling/voiding of coupons electronically, eliminating manual tracking and reducing human error.
    • Mobile Integration & POS: ACoMS™ includes a mobile module integrated with point-of-sale (POS) systems, allowing pump attendants to validate coupons, track product sales, and record payments. The mobile system helps ensure that all transactions are efficiently recorded and real-time data is captured.
    • Customer Transparency & Tracking: Customers can validate and track their purchases using information provided on receipts issued by the pump attendants. This feature enhances customer satisfaction by providing them with clear, accurate, and instant details about their transactions.
    • Real-Time Inventory & Alerts: The system enables real-time inventory tracking of coupons. Station managers receive alerts when the coupon stock reaches predefined threshold levels, ensuring that inventory is always replenished in a timely manner.

    • Comprehensive Reporting Features: ACoMS™ offers detailed reporting functionalities, giving managers a comprehensive view of coupon sales, cash receipts, and coupon usage across all locations.
    • Instant Access to Data: Filling station managers now have instant access to critical data—such as coupons serviced, cash received, and other operational metrics—allowing them to make informed decisions promptly and improve day-to-day operations.
    • Data-Driven Insights: The system provides valuable insights into sales trends, customer behavior, and inventory levels, helping Aminata & Sons make data-driven decisions and optimize the efficiency of their operations.
